Rules that travel

What travels in property is the discipline: know what every management agreement says, keep a person approving every message and payment, and delete renters' data once you no longer need it. Where software helps decide about people, such as rental applications, the EU's GDPR limits decisions made by software alone, and it can reach businesses outside the EU that offer services to people there. The FATF standards ask businesses that act for clients in buying or selling property to identify those clients and keep records; leasing and property management are outside them. Property rules are set locally, and we only claim to know Australia's. Outside Australia, we'd map your local rules with your compliance lead first.

Which rules apply to you is your compliance or legal team's call. We map our evidence to them; we don't certify against them.

The problem

In New South Wales, Australia, 330,256 new rental bonds were lodged in 2024–25, and 321,876 refunded. Senior property managers read agreements one PDF at a time.

What we build for real estate

  • Admin Hours Audit + Switch-On

    ⑤ AI Switch-On

The Admin Hours Audit takes 1 week and maps where staff hours go. Switch-On takes 2–3 weeks: it configures features you already own; for firms in Australia, it applies the relevant Safe-Use Kit as published, where one has been published; and it trains staff and measures the hours saved at day 30.

Management Agreement & Rent Roll Register

    ① Document Registers

Every signed management agreement read into one register: management fee, owner repair limit, signed authorities, landlord insurance and expiry, with missing, unsigned or out-of-date agreements flagged. The Rent Roll Due Diligence variant runs the same register over the agreements of a roll you're acquiring.

What we don't do

  • We don't write to your trust ledger, make payments or make compliance decisions.
  • We don't do identity checks or AML/CTF due diligence.

Illustrative scenario: not a client engagement

Australian example

An agency checks a rent roll it just bought.

  1. Problem

A fictional three-office agency buys a rent roll of a few hundred managements and can't say which set a repair limit or lack a signature.

  2. Approach

Two senior property managers pick 40 agreements they know as the answer key. The register reads fees, repair limits, insurance and signatures, with page links.

  3. How we'd measure

    • The error rate per field
    • How often it says "not found" rather than guess
  4. What ships first

The answer-key register and its error rates, before the go/no-go.

A first engagement in real estate

What we need from you

  • An operations lead for about 3 hours a week
  • Admin access to PropertyMe and Microsoft 365
  • For the register Trial, a senior property manager for about a day

What you get

  • An hours map: what to build, queue or park
  • The features you already own, switched on, and staff trained
  • An hours-saved report at day 30

The exit ramp

Stop after the Audit, after Switch-On, or at the Trial's go/no-go, keeping the hours map, answer key and register rows.

Questions

Is this an audit? Will our auditor accept it?
No. It isn't an audit, and we give no opinion. Your approved auditor decides what evidence to rely on. The Trust Audit Prep Pack gathers the sample they ask for and lists what's missing.
Does AML/CTF Tranche 2 apply to property management?
From 1 July 2026, AUSTRAC regulates brokering the sale, purchase or transfer of real estate. Its guidance (updated 31 August 2026) says "real estate" excludes leases of 30 years or less. Confirm your position with your adviser.

Questions

We're on PropertyMe Advanced. Doesn't AiMe already do this?
Partly, and you should use it first. The register reads your signed management agreements, which AiMe doesn't turn into a checked, page-linked register.
Will your system touch our trust account or change PropertyMe?
No. Nothing we build enters, edits or deletes trust records, makes payments or changes records in PropertyMe. A property manager completes every action.
Which agencies have you done this for?
None yet. You get evidence on your own files instead: an error rate on agreements your senior staff know, before you rely on it.
