The job

AI document processing turns one family of deeds, agreements or records into a structured register. Each extracted value links to its source, and missing or conflicting details go to a person.

What you receive

A spreadsheet, CSV or supported import with source links and a review queue. The test on your agreed answer key reports errors by field before the full document set is processed.

Who it's for

Packages

One document family, one register

For
A team that reads one kind of document by hand, such as deeds, agreements, leases, approvals or certificates, and needs the answers in a register it can check.
Scope
One document family and one fixed field list. You agree the fields and the error rate you'll accept; the register is tested on an answer key of 30–50 documents your seniors already know, then run over the full set.
Included
  • A Two-Week Trial on your answer key, with the error rate for each field and every miss listed
  • The full run over the rest of the document family
  • An exception queue for documents that are missing, unsigned, expired, conflicting or amended
  • Every field linked to the page it came from
  • Delivery as a spreadsheet, a CSV or an import your destination system accepts
  • Instructions for running new documents through the register after handover
Every package includes
  • A test on your own examples, with thresholds agreed before testing and every failure shown, or, for AI Switch-On, the hours saved, measured against a baseline taken before anything changes.
  • Where the work has a test set, a re-run of it when the AI model changes or may have changed: by us on a system we build or run, and by your team, with the kit we hand over, after an evaluation.
  • A one-page data note: where your data sits, where the model runs, retention and deletion.
  • A runbook and a handover.
  • The delivery choice that fits the package, named in its region note.
  • Your time commitment, stated in hours and weeks.
Your time
A senior for about a day to build and check the answer key, about half a day to check 50 output rows, two one-hour meetings for the process owner, and read-only access to the document store. Confirmed at scoping.
Timeline
Week 0: the field list, the agreed error rate and the answer key. Weeks 1–2: the Two-Week Trial, ending in a go/no-go. Weeks 3–5: the full run, the exception queue and delivery. Week 6: handover.
Out of scope
  • Legal interpretation: a flag such as "streaming clause present, see p. 14" is for your partner or lawyer to decide
  • Identity verification, screening, and final due-diligence or compliance decisions
  • Bookkeeping capture of bills and receipts
  • Writing to a trust ledger or any other record in your systems
Go/no-go gate
At the end of the Two-Week Trial you see the error rate for each field on your own answer key, with every miss listed, and you decide whether to continue.
Region note
Document reading and model inference run in the cloud region you choose, in your own Microsoft or AWS account, or in an Australian region if we manage the register for you. The data note records the model provider's retention, abuse-monitoring and human-review settings. If the model you want isn't offered in your chosen region, you hear that before you decide. Our team reaches the register remotely from Sydney, under the data-transfer terms in your contract.

Your data stays in your region.

Trust Deed & Client Structure Register

Trust Deed & Client Structure Register

For
Accounting practices and networks whose client trust details sit in deeds and deeds of variation that seniors read by hand.
Scope
Every trust deed and deed of variation in your client book, read into one register: trustee, appointor, beneficiary classes, vesting date and amendment history, with streaming and distribution clauses flagged for partner attention.
Included
  • The fields above for each deed, each linked to its page
  • A flag on each streaming or distribution clause, with its page, for the partner
  • An exception queue for deeds that are missing, unsigned or changed by a deed of variation
  • Deeds matched to clients from a read-only copy of your client list
  • Delivery as a spreadsheet or CSV
Your time
A senior for about a day to build an answer key of 30–50 deeds they already know, and about half a day to check 50 output rows. Read-only access to where the deeds live.
Timeline
5–6 weeks after Week 0. The Two-Week Trial runs in a quieter window outside your peak tax season (in Australia, November to early December or April to May).
Out of scope
  • Interpreting a deed, or legal or tax advice: every flag is for the partner to decide
  • Identity verification and customer due-diligence decisions, which stay with your compliance officer and your due-diligence tool
  • Writing register fields back into Karbon or Xero Practice Manager
Go/no-go gate
After the Trial, you see the error rate for each field on deeds your seniors already know, with every miss listed, and you decide whether to run the rest.
Region note
Deeds are read, and the model runs, in the cloud region you choose, in your own Microsoft or AWS account, or in an Australian region if we manage the register for you. The data note names every processor, what each keeps and for how long. If the model you want isn't offered in your chosen region, you hear that before you decide. Our team reaches the register remotely from Sydney, under the data-transfer terms in your contract.

Management Agreement & Rent Roll Register

Australia

Management Agreement & Rent Roll Register

For
Residential property-management groups that need to know what every signed management agreement says, including on a rent roll they're buying.
Scope
Every signed management agreement read into one register: management fee, owner repair limit, signed authorities, landlord insurance and expiry, with missing, unsigned or out-of-date agreements flagged. The Rent Roll Due Diligence variant runs the same register over the agreements of a roll you're acquiring.
Included
  • The fields above for each agreement, each linked to its page
  • An exception queue for agreements that are missing, unsigned or out of date
  • The Rent Roll Due Diligence variant, on the agreements of a roll you're buying
  • Delivery as a spreadsheet or CSV, for a property manager to act on in your own system
Your time
A senior property manager for about a day to build an answer key of 30–50 agreements they already know, about half a day to check 50 output rows, and read-only access to where signed agreements are stored.
Timeline
5–6 weeks: Week 0 for the answer key, a Two-Week Trial ending in a go/no-go, three weeks for the full run and delivery, and handover in week 6.
Out of scope
  • Writing to your trust ledger, making payments or disbursements, or changing a rental record in PropertyMe
  • Tenant reply drafting, rental-law questions and supplier-bill reading, which your property platform may already do
  • Compliance decisions: flagged agreements are for a property manager to resolve
Go/no-go gate
After the Trial, you see the error rate for each field on agreements your senior staff already know, with every miss listed, and you decide whether to run the full portfolio.
Region note
Agreements are read, and the model runs, in the cloud region you choose, in your own Microsoft or AWS account, or in an Australian region if we manage the register for you. Before work starts, the data note maps every place owner and tenant information will land, with the retention you set for each copy. If the model you want isn't offered in your chosen region, you hear that before you decide. Our team reaches the register remotely from Sydney, under the data-transfer terms in your contract.

Your data stays in your region.

  • On request Approval & Permit Conditions Register: Turns each condition of a resources, energy or utilities approval into a register row linked to its page, starting with a Two-Week Trial on one approval.
  • Australia On request Trust Audit Prep Pack: Checks sampled disbursements against invoice and owner approval from read-only exports, and lists what's missing for your auditor. It isn't an audit, and it never touches the ledger.
  • Australia On request Bond Claim Evidence Pack: Links each claimed item to its condition-report page, photo and receipt, in one draft a property manager checks.
  • On request Compliance Certificate Register: Reads compliance certificates, such as smoke-alarm and pool certificates, into one register of expiry dates. The rules for each state or jurisdiction are checked when the package is scoped.
  • On request Lease Abstract & Critical Dates: Abstracts each commercial lease into a register of key terms and critical dates, each linked to its page.
  • On request Compliance Dossier Builder: Pulls the evidence a customer audit, food-safety audit or GMP inspection asks for into a register linked to its pages. It points at your controlled documents and doesn't replace them.
  • On request Credentialing & Referral Intake Registers: Reads credentialing documents from outside the national practitioner register (Ahpra in Australia), such as college fellowships and scope-of-practice letters, or referrals that arrive as PDFs or faxes, into a register a person checks. Administrative only: a person makes every credentialing or referral decision.

The program

Registers program

Several document families, each with its own agreed error rate and review threshold, phased one family at a time.

8–12 weeks

  • An agreed error rate and review threshold for each document family
  • A review screen where your staff clear the exception queue
  • A retention and disposal position for extracted data and logs
  • A check that flags documents on a template the register hasn't seen before

How we test it

Acceptance test (not independent)

Every register is tested on an answer key your own seniors build from documents they already know, before anyone relies on it.

  • The error rate for each field on the answer key, with every miss listed
  • How often the register says "not found" when the document does contain the answer
  • How many documents land in the exception queue, and why
  • A re-test on the same answer key when the AI model changes, with old and new results side by side

Read the evaluation method

Where it runs

  1. (a) In your own Microsoft or AWS account

Runs in your own Microsoft or AWS account, in the cloud region you choose. Our team reaches it remotely from Sydney, under the data-transfer terms in your contract.

  2. (b) Managed for you in an Australian region

We run it for you in an Australian region, with an exit pack of code, data, configuration and runbook. If you're outside Australia, your data is transferred to Australia under the terms in your contract.

The register runs in your own Microsoft or AWS account, in the cloud region you choose, or in an Australian region we manage. It never runs inside a vendor's platform, and every processing step, model inference included, is designed to run in the same region as the register.

The region note

  • Where inference actually runs, which can differ from where the platform is hosted.
  • The provider's retention, abuse-monitoring and human-review settings.
  • What happens when the newest model isn't available in your chosen region.
  • For a platform you already license: the vendor's published processing location, or "not published", with its source and an as-at date, re-checked quarterly.

What we don't do

Use your platform's AI first

If your need is due diligence on one client at a time, check what your AML platform already reads: First AML's AI document reader, for example, reads trust deeds inside each case. A register earns its place across the whole book, field by field, with an error rate measured on your own answer key, with a go/no-go before you rely on it.

  • We don't write to trust ledgers or any other record. Registers are read-only on your systems.
  • We don't make compliance or due-diligence decisions, or give legal or tax advice.
  • We don't rebuild bookkeeping capture, identity verification, or anything your platform already reads well enough.

Questions

Have you built this for another firm?
No. Techsider has no clients yet, and this page describes a packaged offer, not a delivered engagement. That's why every register starts with a Two-Week Trial on 30–50 documents your seniors already know: you see the error rate for each field, and every miss, before you decide whether to continue.
Is this intelligent document processing?
Yes. Intelligent document processing (IDP) reads documents, sorts them by type and extracts named fields, where OCR alone only turns a page image into text. Here every extracted value lands in a register with a link to the page it came from, and anything missing, unsigned, expired or conflicting goes to a person to decide.
Will it change anything in our systems?
No. The register reads your documents read-only and adds no new login. It's delivered as a spreadsheet, a CSV or an import file, and a person on your team decides what to load and when.
Who checks the documents it flags?
Your staff do. Anything missing, unsigned, expired or conflicting goes to a short exception queue, each item linked to its page, and a person decides what to do about it. The register never makes the decision.
What happens when the AI model changes?
The test on your answer key is re-run before the new model is used, and you see old and new results side by side. If the error rate gets worse, you decide whether to switch. The answer key and test kit are yours, so you can re-run them without us.
